Job Summary:
Works with the Director of Budget, and various levels of management within the Division of Academic and Student Affairs to execute budgeting, forecasting, and performs financial tasks for the division of Academic and Student Affairs. Assists in monitoring and analyzing the budgetary performance and development of the annual operating budget process for the division. Prepares and provides reports for applicable financial review and analysis.
- Assists in the overall day-to-day budgetary functions of the Division, including maintaining financial transactions, purchasing functions, departmental credit card procedures, reimbursements, travel procedures, and ID/cash/budget transfers.
- Serves as the Procard holder and approver for departmental transactions. Assures compliance and adherence to University credit card policies and procedures. Reconciles, approves and maintains procurement card records, as required.
- Assists in the vendor process as it pertains to the procurement of goods and services. Prepares purchase requisitions and processes vendor payments for goods and services for units as needed. Reviews existing phone line records for accuracy.
- Manages Foundation and concession accounts. Monitors, controls, and analyzes budgetary transactions.
- Runs queries and reports in PantherSoft. Prepares and/or compiles quarterly variance reports. Monitors, analyzes, and reports budget performance, balances and researches financial data discrepancies.
- Provides direction to the Division of Academic and Student affairs financial staff in relation to financial policy, procedure, and application. Interprets and provides guidance to department staff to ensure transactions are in compliance with federal, state and/or University guidelines, policies and procedures.
- Prepares and processes departmental paperwork related to budgetary matters.
- Assists the Director of Budget with financial support data in the preparation of the budget, presentations and record keeping.
- Assists the Director of Budget in maintaining accounting systems and internal control procedures. Initiates payments and ensures timely processing of revenues and expenses.
- Manages multiple fiscal and accounting functions and ensures compliance with internal control procedures and accounting best practices.
- Serves as the liaison to the department financial staff in the division for the preparation and analysis of budget and financial reports.
- Assists with property inventory reports and annual verifications.
- Provides administrative support to the Director of Budget in maintaining administrative records, office and correspondence files including confidential records.
- Serves as the expense manager as it relates to overseeing and maintaining budgetary information for assigned departments. Works closely with Directors as it relates to this area.
- Works with the Activity and Service Business Office and the Director of Budget on various projects and to expedite budgetary processes for departments within the Division of Academic and Student Affairs.
Minimum Qualifications:
- Bachelor's degree in related discipline and two (2) years of experience in related field or Master's degree in related discipline.
Departmental Requirements:
- Experience in budgeting processes.
Desired Qualifications:
- Degree in Finance, Business Administration or Accounting.
- Experienced in PeopleSoft Financials
