Position Description:

University Procurement and Logistics (UPL) is seeking a UPL Admin Office Assistant to perform administrative duties in support of UPL’s Associate Vice President and Management Analyst of the UPL Administration sub-unit. This position will fulfill the administrative tasks that keep the UPL Administration team running.

Position Duties:

  • Efficiently assist with scheduling requests and calendar management for AVP and Executive Management
  • Complete travel arrangements with accuracy and timeliness
  • Coordinate with and support other departments within UPL
  • Professionally draft documentation such as letters, memos, presentations, and templates
  • Draft professional communications that can be sent on behalf of executive management
  • Maintain a high level of confidentiality
  • Investigate policies and procedures to maintain compliance
  • Provide assistance for on-site and remote events
  • Serve as a backup resource for on-site reception or office needs
  • Exhibit strong communications skills resulting in positive interactions with an audience of varying levels of knowledge and understanding
  • Ability to work independently and collaborate effectively in a team setting
  • Successfully prioritize quicky and multi-task in a fast-paced work environment
  • Complete special projects and other duties as assigned

Unit Specific Education/Experience/Skills

Knowledge normally acquired through a high school education; three to five years of related and progressively more responsible or expansive work experience in word processing, spreadsheet, database and/or desktop publishing software; presentation and webpage software; typing and filing; maintaining accounting ledgers; may require knowledge of technical or medical terminology and/or technical knowledge or training related to the field of employment; or an equivalent combination of education and experience.

  • Bachelor’s degree in business or business-related field
  • Professional level experience with Microsoft Office Suite
  • Exceptional written/verbal sills
  • Excellent emotional intelligence
  • Knowledge of MSU/UPL policies and procedures
