Medical Office Staff Supervisor
The Staff Supervisor is responsible for managing all staff at Myrtle Beach Family Medicine. Position requires dependability and ability to multi-task with time-conscious awareness. Ensures the office is staffed and training is provided to each employee. Responsible to supervise staff, handle human resource issues and direct procedures relating to computer/equipment, Aprima, MDVIP, telephone, appointments, check-in, check-out, medical records, scheduling staff, monitoring practice emails, coordinating schedules, time off, kitchen schedules, inventory, supply and office maintenance. Works with Office Manager and Physicians to facilitate smooth processes between all areas of the practice. Manage staff to ensure all areas of practice covered daily. Works with physicians to manage their work schedules/patient appointments. Maintains policies and procedures to direct staff. Identifies, analyzes and resolves work issues. Is responsible to monitor customer service, directs, plans and coordinates work of staff. Assists Practice Office Manager in all areas of the practice as needed. Ensures patients are treated courteously by office staff and visitors/drug reps are properly screened and directed. Assists practice manager in maintaining policies and procedure manuals and all duties needed to meet Quality reporting, HEDIS, DHEC, VAFAC, OSHA, MIPS, HIPAA, and other regulatory agency guidelines.
Oversight of the Insurance Department to carry out office duties related to insurance and accounts receivable. Ensures the office claims are sent out daily and timely. Monitors A/R for trends that need to be problem solved. Ensures deposits and daily balancing. Manages filing and retrieval of Explanation of Medical Benefit files, appeal of denied claims, follow-up to Insurance Companies to check claim status and problem solve outstanding claims. Oversight of Insurance Pending Reports and Electronic daily reports. Supervises Accounts Receivable Representative with collection of accounts, accurate data entry, daily/monthly balancing, preparing reports as needed, maintaining current fee schedules and ICD-10 codes. Maintains current knowledge of insurance billing to comply with regulatory agencies and appropriate insurance billing requirements. Types letters for practice as requested. Fill in when staff out in clerical and financial areas. Responsible to work with check-in and check-out staff for improved screening of accounts, financial counseling and customer service. Maintains knowledge of regulatory agency guidelines regarding appropriate billing procedures, covered and noncovered services, health care contract obligations and patient obligations. Prompt return of calls to patients, other providers and insurance carriers. Assist Accounts Receivable Representative and Practice Manager in meeting practice financial goals, establishing and maintaining financial policies, Corporate Compliance Program, HIPAA program, CMS, DHEC and Immunization guidelines. Works with and provides training to providers, clerical and clinical staff to maintain compliance. Assists Data Entry and Accounts Receivable Representative with entry or posting issues. Handles posting errors, patient refunds, insurance refunds and general accounts receivable duties. Assist with reports needed for financial process, i.e., month end reports, credit balance reports and aged accounting reports, as requested. Assist with Corporate Compliance Program and other projects as requested. Staff Supervisor will have administrative rights to EHR and be responsible to train staff and facilitate EHR processes, dictionaries, interfaces, scanning, document linking, Improvement Activities and Promoting Interoperability.
Staff Supervisor is responsible for MDVIP program. Daily census, running and tracking reports, working with MDVIP to ensure highest level of customer service.
The staff supervisor is essential in ensuring the office maintains a high standard of care and customer service.
Applicant must have a background in management of staff and an understanding of medical practice requirements. Comprehensive computer stills and customer service in a healthcare setting.

This is a primary care practice with board certified family and internal medicine physicians. Drs. Belden and Smith are a part of MDVIP (Medical Physicians with Values in Prevention). Dr. Shah is a traditional family practice physician.
